In effect from [CONFIRM THE DATE THIS GOES LIVE]

This describes what this website collects, why, how long it is kept and how to have it removed. It covers levelxbaseball.com only. The LevelX community is hosted on Skool and the booking calendar on Calendly, and each of those has its own policy.

The short version

  • We collect an email address if you sign up for the newsletter, and what you write if you use the contact form.
  • If you send a swing video, a parent or guardian submits it and we record that permission along with the video.
  • Videos are stored privately. There is no public link to one, ever.
  • We do not sell anything to anyone, we do not run advertising, and we do not track you across other websites.
  • You can ask for anything we hold about you to be deleted, and we will do it.

If you sign up for the newsletter

We store the email address you type, the first name if you give one, the page you signed up from, and any campaign tags in the link that brought you there. The campaign tags tell us which video or post is bringing people in. They say nothing about you personally.

We use it to send the LevelX newsletter. Every email has an unsubscribe link, and unsubscribing removes you from future sends.

If you use the contact form

We store your name, your email address, the subject you picked, what you wrote, and the same page and campaign information described above.

We use it to answer you. Sending a message does not add you to the newsletter, and we do not use it for marketing.

If you send a swing video

This is the most sensitive thing this site handles, so it is worth being exact.

A parent or legal guardian submits the video, not the player. Before the file is sent, that adult confirms the following, and we store the confirmation with the exact wording they were shown, the date and time, and the network address it came from:

I am the parent or legal guardian of this player. I give LevelX Baseball permission to store this video and to use it to coach my player. LevelX will not publish it or share it publicly without asking me first.

Along with the video we store the parent or guardian's name and email address, the player's first name, an age group, and any notes written in the form.

The storage bucket is private. There is no public address for a video and there never will be one. When Chris needs to watch a submission he opens a link that we generate, that works for a limited time, and that expires by itself.

We will not publish a video, post it, or use it in any public material without asking that parent or guardian first and getting a yes.

Children

This site is aimed at parents, guardians and coaches, not at children. We do not knowingly collect information directly from a child under 13.

The player's first name and age group reach us because an adult typed them into a form on that child's behalf. If you believe a child has given us information without a parent involved, email us and we will remove it.

A parent or guardian can ask at any time to see what we hold about their player, or to have it deleted. We will not ask for a reason.

How we measure the site

When you click a button that takes you to the LevelX community or to the booking calendar, we count that click on our own server before sending you on. The count records which button was pressed. It does not record who pressed it and it sets nothing on your device.

Videos on the site do not load until you click play. Until then nothing is requested from YouTube and YouTube sets nothing in your browser. When you do press play, the video loads from YouTube's no-cookie domain and YouTube's own terms apply from that point.

We do not use advertising cookies, we do not use cross-site trackers, and we do not sell or share data with data brokers.

Who else handles this information

Only companies we need to run the service, and only for that purpose:

  • Cloudflare Hosts the site, stores the newsletter list, the messages and the videos, and filters automated abuse.
  • Calendly Runs the booking calendar. If you book a call, what you type there goes to Calendly.
  • Skool Runs the LevelX community. Joining is a separate account with Skool and its own policy.
  • Kit Sends the newsletter. Receives your email address and first name when this is switched on.
  • YouTube Serves the videos, and only after you press play.

Each of those holds the information under its own terms. We do not pass anything to anyone else.

How long we keep it

Newsletter signups: until you unsubscribe or ask us to delete you.

Contact messages: [CONFIRM. A year is a reasonable default and long enough to pick a conversation back up.]

Swing videos and the consent record that goes with them: [CHRIS: PICK A WINDOW. This is set as an automatic expiry on the storage bucket, so it happens whether or not anyone remembers.]

Anything you ask us to delete: removed on request, regardless of the above.

Your choices

You can ask us to show you what we hold about you, correct it, or delete it. You can unsubscribe from the newsletter from any email we send.

Email [CHRIS: THE ADDRESS FOR PRIVACY REQUESTS] and say what you want. We do not require a reason and we do not charge for it.

How it is protected

The whole site is served over an encrypted connection. Video storage is private with no public addresses. Access to submissions and to the subscriber list is behind a login held by LevelX.

No system is perfect, and we will not pretend otherwise. What we can say is that we hold as little as the service needs, we do not copy personal information into logs, and video is never made publicly reachable.

Changes to this policy

If what we collect changes, this page changes with it in the same release. The date at the top is when this version took effect.
